Hockey Captain Handoff: Save Your Team Jersey Order Records

A hockey captain's jersey handoff should include the final approved proof, supplied logo artwork, order references, jersey specifications and a current spare inventory. Put those records in a team-controlled folder, explain what is current and make sure the next organizer can open it.

Passing on the captain job should not require reconstructing a jersey order from three old phones. A small archive gives the next organizer a place to start when a player joins or the team needs another set.

Separate the approved files from the almost-approved files

Create a folder for the season or order. Put the final proof and approved team information in a clearly labeled section. Move early mockups and unused logos into a separate archive so nobody sends an abandoned version as the current design.

Puck Drop Prints' ordering process includes approval of the proof and team information. Save the corresponding approval message beside those documents. That connects the files to the decision your team made.

Keep an unchanged copy of the approved order sheet. Track later roster changes in a different document rather than quietly editing the historical record.

Save the supplied artwork and its permissions

Keep the logo file your team supplied, not only a screenshot of the crest on a jersey. Label it clearly and note which order used it.

For a new logo, create the artwork in ChatGPT and supply it with your order request. Review the output and check your rights to use the artwork. AI-generated output is not automatically cleared for commercial use or guaranteed to be a vector file.

For sponsor artwork, save the sponsor-approved original and the permission or instructions that came with it. Obtain permission before creating or refining a sponsor mark in ChatGPT. Record any agreed limits on use so next season's captain does not assume an old approval covers a new order.

Write a short jersey specification note

A note helps the next captain describe the existing uniform without guessing from a team photo. Record what you actually ordered and flag anything you cannot verify.

Jersey handoff record
Record Useful detail
Order reference Confirmation or invoice identifier and order date
Jersey specification Type, collar, set or color, and approved proof location
Artwork Supplied file location and relevant permission records
Order correspondence Contact route and unresolved questions
Team spares Size, number, condition, location and current borrower
Next action Who owns any open jersey issue

Photographs can help identify a set, but avoid treating a phone photo as an exact color specification. Keep any color references that were confirmed during your original order.

Count spares before the handoff

Check the actual garments. A spare listed in a sheet may already be living in a substitute goalie's bag. Record who has borrowed each item and whether it needs cleaning or another check before the next use.

If players own their jerseys, keep those separate from team-owned inventory. The next captain needs to know which sweaters are available to lend.

Transfer access, then test it

Use a folder the team controls where possible, with access limited to people who need the records. Player details and invoices should not sit in a public team-photo folder. Keep only information needed for team administration.

Ask the incoming organizer to open the proof, artwork and order record before the handoff is complete. Transfer access through the service's sharing controls rather than sharing a personal password. Remove obsolete access when it is no longer needed.

Captain handoff FAQs

Does keeping these files guarantee a reorder will match?

No. The archive helps identify the original order and requested details. Ask your order contact to confirm artwork availability, current garment options and any matching limitations before placing another order.

Should we copy last season's sizes into a new order?

Use the old sheet as a reference, then ask players to confirm their current details. The roster collection guide covers gathering a new set of responses.

Where do we check how adding a player works?

Start with the jersey reorder guide, then confirm current pricing and timing with your order contact. Historical invoices record what your team paid then, not a quote for the next order.

Finish with a short note naming the current files, the location of team spares and the next person responsible. Then hand over the captain job with one less loose end.
